Information for Poster Presenters:

1. Poster display is a way of presentation using two dimension medium on your preference consisting images and/or words describing your activity appropriate to your abstract.
2. All posters should be in English.
3. The poster must be put up in the designated space location between 09:00 – 10:30 GMT+8 on your presentation day.
4. Posters will be displayed throughout the day.
5. Poster presenters are requested to stand by their poster during 12:30 to 14:00 GMT+8.
6. Size: 90 cm wide x 180 cm tall (vertical). Please adhere to this maximum size to fit the provided poster presentation space.
7. A poster panel board can be clearly identified by the poster code on the upper left corner of the board.
8. Mounting material (including double sided tape) will be provided.
9. Poster must be removed in the afternoon of your presentation day between 17:30 – 18:00 GMT+8. Materials that are not removed will be discarded.
10. Please visit the information desk in the venue to get your exact poster presentation location.

Information for Oral Presenters:

1. All presentations must be in English.
2. All presentations will be from dedicated computers using Microsoft Power Point (Windows) connected to a multimedia projector.
3. Slides are limited to maximum 10 slides.
4. All speakers are requested to check in their presentations at the Speakers’ Desk located in the venue (Bali International Convention Centre, Nusa Dua, Bali, Republic of Indonesia)
5. Speakers are requested to come to the Speakers’ Desk the day before the presentation day.
6. Speakers should bring their presentation file (either in a USB flash drive or CD ROM) to the congress and give to the Speakers’ Desk to make the presentation data available in the appropriate presentation room.
7. Alternatively, please send your presentation file prior to the congress to: presentation@icaap9.org
8. Please indicate your abstract number and presentation code in the email.
9. Duration for an Oral Presentation Session is 90 minutes. Each session consist of up to six abstract presentations. Therefore, each presentation should be strictly limited to 10 minutes. A thirty minute discussion will follow facilitated by one chairperson.
10. Every speaker must report to the organizer who will be at the entrance of the allocated session room 15 minutes before the presentation begins.
11. The person listed as the presenting author is responsible for presenting the paper at the congress.
12. If due to unforeseen circumstances the presenting author cannot attend, please notify the organizer at the Speakers’ Desk.

Important Notice: The late-breaker abstract submission has closed on 30 June 2009. The result of late-breaker abstract review has been announced. 

Late-breaker Abstract Submission

A small number of late breaker abstracts will be accepted for oral and poster presentation during the Congress. However, the percentage of late breakers will depend on the number of submission and the selection will be more rigorous than for regular abstracts. Late breaker abstracts should be limited only to presentation of developments in the scientific research that are not yet available by the regular deadline of 30 March.

Therefore, the late breaker abstract submission is reserved for results of scientific-based research that was not available before the regular abstract submission deadline on 30 March 2009 under any of the defined four congress tracks.

The late breaker online abstract submission will opens from 1 – 30 June 2009. Please read the following abstract submission guidelines thoroughly before submitting an abstract. The late breaker abstracts will be reviewed and selected by the Scientific Committee in July. Notification of acceptance or rejection will be sent to the corresponding author by mid July. Because of the proximity to the conference, authors will have 72 hours to confirm their participation before a back-up presentation is invited.

Each presenting author may present no more than one late breaker abstract at the conference. Please note that only the corresponding author will receive mail concerning the abstract and is responsible for informing all co-authors of the status of the abstract. Authors whose abstracts have been accepted will receive instructions for the presentation of their abstract. All accepted late breakers will appear in their full form in the abstract CD-ROM and on the conference and the congress website.

 

Regular Abstract Submission

Important Notice: The regular abstract submission has closed on 30 March 2009. The result of abstract review has been announced in April 2009.

Delegates are encouraged to submit abstracts for review and presentation. Individuals may present up to two (2) papers and may be listed as co-authors on any number of abstracts.

Selected abstracts will appear in its full form in the Congress Abstracts book, and a shortened version of the abstracts that are selected will appear in the Congress Programme featuring the presenting author, title, and institution of the presenting author.

Abstracts should be submitted online through our website between 1 December 2008 - 15 March 2009. Those who cannot access the website may contact the Secretariat to obtain the abstract submission form, which should be returned by mail or via courier to the Secretariat. Note: The regular abstract submission deadline has been extended from 15 March 2009 to 30 March 2009.

The submitted abstracts will go through a blind peer review process by international review panel consisting three expert reviewers from respective fields. The author(s) should state in the abstract submission form their preference of presentation (oral or poster presentation). The result of abstract review will be announced in April 2009

ABSTRACT SUBMISSION GUIDELINE

Choosing your abstract-track categories
The abstract-track category is the general heading under which your abstract will be placed. Please read the abstract-track information carefully and choose a track that adequately describes the subject of your abstract. Type your choice in the box provided on the Abstract Form.

Choosing the right key words for your abstract:
Key words listed and cross reference abstracts according to their content. By recording the codes for appropriate key word on their Abstract Form, you help readers of the Congress Book to locate your research. These words will also help to index your research or findings in database formats after the Congress. Please review the keywords carefully and choose the most relevant keywords for your abstract.

Choosing the right type of abstract:
There are two types of abstracts submission: abstract submission for classical scientific study or observation; and abstract submissions for experience-based study or observations.

Option 1 – Classical scientific study
This option is most suited to classical scientific studies. Abstract presented under this option should contain precise statements of:

Background : the study objectives, the hypotheses to be tested or a description of the problem
Methods : method(s) used or approach taken
Results : specific results in summarised form (with appropriate statistical analysis, if any)
Conclusions : (not more than 5 lines of text) discussion, implications and conclusions

All abstracts should disclose primary findings and avoid, wherever possible, statements such as experiments are in progress or results will be discussed.


Option 2 – Experience-based study
The second option is most suited to presenting experiential information about studies and observation using alternative research methods and styles. These may include community-based activities, as well as work in the area of HIV prevention, care, support and treatment, social services, policy development.


The 9th ICAAP committee encourages submission of abstracts that describe work that significantly advances understanding. In particular, submissions of abstract by people living with HIV and by individuals or groups responding to HIV and AIDS are welcome.


Abstracts should contain concise statements of:

Issues : a short statement summarising the issues addressed by the abstract
Project : a brief description of the project, experience, service, research and/or advocacy
Results : a brief description of the results of the project
Lessons Learned : (not more that 5 lines of text) a summary of the lessons learned and their implications.
