Regular Delegate Registration
The registration fee for regular delegates include entry to all conference sessions, the Exhibition Hall and poster areas, the opening session, welcome reception, and the closing session. It also includes the conference bag and materials if the registration form and full payment are received before 30 June 2009. Registration on or after 1 July 2009, including on-site registration, do not guarantee a conference bag and materials.

Youth Delegate Registration
The 9th ICAAP Committee have extended the student registration fee to all youth under the age of 26 (as of 13 August 2009). To qualify for the youth registration fee, the youth must present proof of age by an official state or institute-issued document. Attach a photocopy of your passport or one of the following official documents (birth certificate, driver’s license, school ID card, national ID card). Documents can be sent via email to secretariat@icaap9.org or via mail/courier to the secretariat.

The registration fee for youth includes entry to all congress sessions, the Exhibition Hall and poster areas, the opening session, welcome reception and the closing session. It also includes the conference bag and materials if the registration form and full payment are received before 30 June 2009. Registration on or after 1 July 2009, including on-site registration do not guarantee a conference bag and materials.

Accompanying Person Registration
A special registration package is available for persons accompanying regular delegates. This package includes access to the opening and closing sessions and welcome reception only.

Media Registration
Media registration is free of charge. To register as a media representative, see section on media centre.

Media registration includes entry to all congress sessions, the Exhibition Hall and poster areas, the opening session, welcome reception and the closing session. It also includes the conference bag and materials if the registration form is received until 30 June 2009. Registration on or after 1 July 2009, including on-site registration do not guarantee a conference bag and materials

Exhibit Registration
The exhibition will take place in the Exhibition Hall, Bali International Convention Centre. The location of services and features of both the congress and the exhibition will be carefully planned to encourage delegates to circulate through all areas. The exhibition will be available from 10 - 12 August 2009.

Exhibitor registration includes entry to welcome reception and Exhibition Hall only. It does not include access to the congress, opening and closing sessions, nor the congress bag and materials. The number of badges issued is based on the size of the exhibition space ordered.

Companies interested in participating in the exhibition can request more information and orders forms on the section for exhibit or contact the congress secretariat.

Group Registration
Note that special conditions apply to group registrations.

Methods of Payment
Payment can be made through Bank Transfer or Credit Card.

Should you wish to pay by telegraphic transfer, the Secretariat must receive the payment in full amount, and any handling fees for remittance will be borne by the participants. The bank remittance should be made under the participant’s name.

Should you wish to pay by credit card, kindly contact the congress organiser by email. Payment with credit card will be charged based on local currency (Rupiah). Indonesian banking regulation stipulates a surcharge for any remittance by credit card. If you pay by VISA/MASTER an additional 5% should be added to the total amount. Payment must be made in advance. Personal or company cheque and AMEX Card will not be accepted.

For onsite registration: payment may be made by credit card or cash in Indonesian Rupiahs or U.S. Dollars only.

Terms & Conditions
Only fully completed registration forms will be processed. The registration will be accepted only upon received of payment. A confirmation letter (stating your registration number) will be issued upon receipt of the payment and will be sent by e-mail, together with other important information.

Cancellation of Registration
Notification of cancellation must be made in writing and sent to the 9th ICAAP Committee secretariat. This notification must indicate a bank account to which the refund may be remitted. If the written notification of cancellation is received before 31 March 2009, 50% of the registration fee will be returned. No refunds can be made for cancellations on or after this date. All approved refund will be processed and issued 60 days after the conference.

Credit will not be given for unattended events or early termination of attendance.

Changes of Registration Names
A handling fee of will be charged for every name change to an existing 9th ICAAP registration. A new complete form for the substitute delegate should NOT be completed or sent to the 9th ICAAP Committee. Name changes will only be accepted by e-mail or fax indicating the new and old names. Name changes will only be processed until 1 July 2009. After this date, all name changes must be completed on site at the registration counter.

Lost Name Badge
All participants are obliged to wear name tag/badge to obtain full access to the congress program and facilities. Please note the ‘no badge, no entry’ rule. If a delegate loses, misplaces, or forgets the name badge, a handling fee will be charged for every replacement. Upon handling out the replacement name badge, the old name badge will be deactivated and become invalid.

Letter of Invitation
The Organizing Committee will issue an invitation letter upon request. The sole purpose of the letter is to facilitate the delegates’ travel visa arrangements and does not imply the provision of any financial or other support by the Organizing Committee. All expenses incurred in relation to the congress are the sole responsibility of the delegate.

Delegates requiring an official Letter of Invitation in order to obtain a visa to attend the congress should contact the 9th ICAAP Committee at or via email to secretariat@icaap9.org. To receive a Letter of Invitation, delegates must first register for the 9th ICAAP and submit payment in full. Should the visa not be granted, full registration fee will be refunded by sending proof by showing us the letter from the embassy/consulate.

The conference organizers will not directly contact embassies and consulates on behalf of applicants. It is the sole responsibility of the delegates to take care of their visa requirements (see section on Visa)


DISCLAIMER: MAJOR CONGRESS CHANGES

Whilst every attempt will be made to ensure that all features of the congress mentioned in this announcement will take place as scheduled, the Organising Committee reserves the prerogative to make last minute changes should they arise.

In the event that the 9th ICAAP cannot be held or will have to be changed due to events beyond the control of the Congress organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Congress organizers, the Congress organizers cannot be held liable by delegates for any damages, costs or losses incurred, such as transportation costs, accommodation costs, or financial losses.

Under these circumstances, the Congress organizers reserve the right to either retain the entire hotel deposit, or to reimburse the delegate after deducting costs already incurred for the organization of the 9th ICAAP and which could not be recovered from third parties. It is therefore recommended that you take out personal insurance.

Travel insurance is not included and delegates are therefore advised to take out their own travel insurance and to extend their policy to cover personal possessions as the Congress does not cover individuals against damages, costs and losses during travel.
