There will be time slot provided for institutions/organisations wishing to organize a press conference during the 9th ICAAP. Please note that time slots are very limited and will be given on a "First Come, First Served" basis.

MEDIA CENTRE
The Media Centre at the BICC will serve the needs of print, radio, and broadcast journalists covering the 9th ICAAP. Services provided to registered journalists include computer work stations, Internet connections, telephone and fax lines, printers, and photocopying machines. Rooms will be available for interviews and for official daily briefings and third-party press conferences.
Access to the Media Centre will only be reserved for 9th ICAAP-accredited journalists and other individuals granted a media pass by the media subcommitee.
Please note that journalists who wish to present a paper or poster should submit their abstracts and register as a regular Congress delegates. This means that the journalist should also pay their registration fee (or apply for scholarship). Should your abstract be accepted and you also wish to cover news of the Congress and use the media centre facilities, you are kindly requested to also submit the required media credentials to receive your media pass as you register.

MEDIA REGISTRATION
Register online by creating a web account in the congress website and choose registration type: Media. Register offline by completing the Media Registration Form and sending all required credentials to the congress secretariat addressed to the Media Sub Committee.
Media credentials are required to verify your media registration. For both online and offline registration, kindly please send copies of media credentials by postal mail or email to media@icaap9.org:
- a photocopy of official media credentials (Valid Press Card)
- Letter of assignment to the congress with official letterhead by your media organization
Kindly provide an official English-language translation if the credentials are in a language other English or Malay/Indonesian
Freelance journalists wishing to cover the congress must submit copies of three (3) articles in addition to media registration form and official letter of assignment from the media you will be writing/broadcasting for
Newsletter writers and editors must submit three (3) issues of the applicant’s newsletter, containing at least one by-lined AIDS article by the applicant, in addition to the media registration form
Broadcast journalists must submit a short description in English (not more than 250 words) of 3 health-related programmes you have been involved in, in addition to the media registration form
Foreign journalists based in another country need to apply for journalist visa in their countries of residence to enter Indonesia. Kindly please register and submit your media credentials preferably by 30 June 2009 at the latest. Foreign journalist who are based in Indonesia and Indonesian journalist may register and submit media credentials any time prior to the congress or on site.
All submitted documents will be thoroughly checked and verified by the 9th ICAAP Media Sub Committee and additional credentials may be requested, if needed. Journalists are encouraged to register early and to submit all required documentation as soon as possible, given the potential need to close media registration early, due to space constraints.
An acknowledgement will be sent by e-mail to media applicants after all required documents have been completed and received by the Media Sub-Committee. Incomplete applications will not be processed.
A notification in the personal web account together with the Confirmation Letter, Letter of Invitation (for visa application) and Registration Number will be sent to confirm successful media accreditation.
Successful applicants who are not based in Indonesia are required to print and bring along the copy of the Confirmation Letter and the Letter of Invitation to apply for a journalist visa at the nearest Indonesian Embassy/Representative offices.
Successful applicants are requested to bring along a copy of the confirmation letter with the Registration Number and to present them to the 9th ICAAP Media Sub-Committee for re-registration at the congress venue.
Media regstration includes entry to the media centre, all congress sessions, the Exhibition Hall and poster areas, the opening session, welcome reception and the closing session. It also includes the conference bag and materials, if registration is done before 30 June 2009. Registrations received after that date, or on-site, may not guarantee that the journalist receive the conference bag and materials.
The Local Organising Committee is not responsible for costs related to travel and accomodation, unless the journalist is appplying for media scholarship (please see the Scholarship section).

INDONESIAN JOURNALISTS
Wartawan Indonesia yang ingin meliput jalannya kongres harus mendaftarkan diri terlebih dahulu. Keikutsertaan dalam kongres ini tidak dikenai biaya pendaftaran.
Untuk mendaftarkan diri sebagai perwakilan media, Anda harus mengisi formulir registrasi dengan melampirkan dua hal berikut ini:
- Fotokopi kartu pers atau kartu identitas lain yang menunjukkan bahwa Anda adalah wartawan.
- Surat tugas mengikuti ICAAP-9 dengan menggunakan kertas kop resmi dari pimpinan media tempat Anda bekerja.
Wartawan lepas (freelance) yang ingin meliput jalannya kongres perlu menyerahkan tiga (3) artikel atau berita yang pernah ditulis mengenai AIDS, di samping formulir registrasi serta surat tugas dari media tempat Anda akan menulis berita atau artikel mengenai Kongres ini.
Penulis atau editor buletin/newsletter perlu melampirkan tiga (3) edisi buletin/newsletter, yang ada minimal satu artikel mengenai AIDS yang ditulis oleh wartawan tersebut, di samping formulir registrasi.
Wartawan media elektronik perlu memberikan sebuah deskripsi singkat (tidak lebih dari 250 kata) mengenai 3 buah program kesehatan yang pernah ditangani sebelumnya, di samping mengisi formulir registrasi.
Semua dokumen akan dicek oleh panitia dan apabila perlu, akan diminta beberapa dokumen keterangan lebih lanjut.
Wartawan sangat dianjurkan untuk mendaftarkan diri terlebih dahulu sebelum 30 Juni 2009. Walaupun pendaftaran sesudah tanggal itu atau pendaftaran di tempat masih dimungkinkan, tetapi tidak menjamin masih ada tempat.
Wartawan yang terdaftar dapat mengikuti semua sesi kongres, memasuki ruang pameran dan poster, upacara pembukaan, resepsi selamat datang, dan upacara penutupan. Wartawan juga akan menerima press kit dan conference bag, apabila telah mendaftarkan diri terlebih dahulu. Mereka yang mendaftarkan diri di tempat (on-site) kemungkinan tidak akan memperoleh conference bag.
Wartawan yang terdaftar dapat menggunakan semua fasilitas media centre selama kongres berlangsung.
Panitia tidak menyediakan honor, uang transport, per diem atau biaya lainnya kepada wartawan yang meliput jalannya ICAAP-9.
Wartawan yang ingin mempresentasikan makalah atau poster perlu mengirimkan abstrak dan mendaftarkan diri sebagaimana layaknya peserta kongres lainnya. Ini berarti wartawan tersebut harus membayar biaya registrasi (atau melamar untuk mendapatkan scholarship). Apabila abstrak Anda diterima, dan Anda juga ingin meliput jalannya kongres dan menggunakan fasilitas media centre, maka Anda perlu juga mememuhi persyaratan media seperti wartawan lainnya agar bisa memperoleh media pass.
